Administrative Assistant - Manufacturing

Corona , CA

Our Client is a metal fabrication and processing company located in Corona, California, and has approximately 25 employees.  The Company adheres to a continuous improvement philosophy and expects all employees to make recommendations for enhanced procedures and methods in operations as well as administrative roles.  


Position Summary


The Sales administrator will be responsible for daily activities associated with sales order processing, customer fulfillment and for maintaining numerous reports.  The company has a solid base of repeat customers who buy products on a reacurring basis.  The SA will be responsible for timely processing of all orders, providing orders to production planning and monitoring customer order progress with Operations and Shipping personnel.  The SA will maintain customer order instructions to ensure production accuracy and customer satisfaction.  The SA will obtain customer feedback by distributing, collecting and reporting customer satisfaction surveys.  In addition, the SA will track customer order activity, and maintain up to date information in the Company's CRM system.  Because of the technical nature of the company's products, the SA will be expected to develop a familiarity with the manufacturing processes and methods in order to contribute meaningfully to discussions focused on satisfying customer expectations, needs and trend changes.  The SA will have sufficient analytical skills to make recommendations to improve the tracking of customer data and enhancing management reporting.


The SA position reports to the Manager of Finance and Administration (MFA).  The MFA will hold the SA accountable for maintaining performance according to the established and evolving standards for the SA position.  The MFA is accountable for achieving a high level of transactional efficiency.  The SA role supports the Sales Organization which is led by the General Manager.


This person needs to be detail-oriented with the ability to multi-task, and act as a liaison between Production, Sales and Shipping.  There are a lot of reports using Excel, Information needed for the weekly Sales meeting and ISO reporting.  The SA will help in booking Trade Shows and travel arrangements for the GM and Sales personnel.



Processes sales data, prepares correspondence, generates sales progress reports, routine reports on market trends, and other routine sales related records and reports


Typical Functions:

Provides sales staff with clerical and administrative support by processing orders and quotes efficiently

Operates computer and appropriate software.

Proofreads records or forms

Maintains related sales files, reports and office records.

Answers telephone calls, conveys messages, and preforms miscellaneous duties

Provides Customer Service and answers routine questions about products, services and other status.
